Posnets supports handling multiple business locations, warehouses, or storefronts to streamline your operations. Here’s a detailed guide on how to manage business locations:

1. Default Business Location

  • A default business location is automatically created when you register a new business.
  • This location can be customized as needed.

2. Features for Business Locations

Invoice Scheme

  • Purpose: Defines the invoice number format for each location.
  • Recommendation: Create a unique invoice scheme before setting up a new location to differentiate transactions.
  • Example Format: {LOCATION_CODE}/{YEAR}/{NUMBER} (e.g., LOC1/2025/0001).

Invoice Layout

  • Purpose: Determines the design and format of invoices for the location.
  • Action: Create an invoice layout before adding the location.
  • Flexibility: You can update the layout anytime.

Default Selling Price Group

  • Purpose: Assigns a default price group for products sold at the location.
  • Action: Select the appropriate price group while creating or editing a location.
  • Use Case: For locations offering region-specific discounts or pricing.

Payment Options

  • Enable/Disable Methods: Configure which payment methods are active for the location.
  • Default Accounts: Link payment methods to specific payment accounts for automatic selection during transactions.

3. Creating a New Business Location

  1. Navigate to Settings:
    Go to Settings -> Business Locations.
  2. Add a New Location:
    • Click on Add Location.
    • Fill in the business details (e.g., name, address, contact details).
    • Select an Invoice Scheme and Invoice Layout.
  3. Save the Location:
    • Once the details are filled, click Save.
  4. Usage:
    • When multiple locations are active, select the appropriate location during purchases or while using the POS screen.

4. Managing Inventory and Transactions

  • Each location has its own inventory and transaction records, allowing you to:
    • Track stock separately for each warehouse or storefront.
    • Analyze sales and purchases independently.

5. Disabling a Business Location

  • How to Disable:
    • Go to Settings -> List Business Locations.
    • Click the Disable button next to the location you want to disable.

Important Notes:

  1. Reassign Users: Users assigned to a disabled location must be reassigned to another active location.
  2. Maintain At Least One Active Location: Disabling all locations will cause system errors.

6. Flexibility

You can update the Invoice Scheme, Invoice Layout, and other settings for any business location at any time.
